FUNCTION: This FREE software provides the means to track all active and inactive members of a group. Print member lists and labels for mailouts. Track events scheduled for the group.

For IBM PC and compatibles

The FREE shareware program runs on a menu format. Only the number next to the option displayed has to by typed. The program revolves around a main menu with the following options.

           1) ADD NEW MEMBER
           2) CHECK/REVISE MEMBER
           3) PRINTER FUNCTIONS
           4) EVENTS
           5) LAST REVISION
           6) SETUP OPTIONS
           7) EXIT PROGRAM

Refer to the following instructions for each option of the main menu.

1) ADD NEW MEMBER Records consist of the members name and address, telephone number and a comment. You cannot add a record without a name. To facilitate alphabetizing the member list, we recommend you enter names last name first followed by a comma. The program can determine name position by using the comma. Labels printed by the free software program will print the first name first.

2) CHECK/REVISE MEMBER You can edit a members data as entered in "ADD NEW MEMBER", mark the member inactive, delete the member or view/add a note on the member. To find the members record, you can search by name, stepping thru the records for his state residence or by just stepping thru the records. When searching by name, you can use any portion of the name for searching. Entering sm will find Smith, Smythe, Grossman, etc.. Deleting a member frees up the record containing the members data to be used for the next member added. If you want to retain data on a member do not delete the member, mark the member inactive. Note: Setup options allow you to change the description inactive to any other description.

3) PRINTER FUNCTIONS This option allows you to print member lists or labels. You can print a member list alphabetically by member names or sorted first by state alphabetically. Member lists can optionally include or not include inactive members. A list of just inactive members can be printed. You can print member lists two columns wide (normal print) or three columns wide (condensed print). You can print labels for all members, an individual member or you can step thru the records printing labels by choice. You can print labels for inactive members only.

4) EVENTS You can display events on file, add a new event, check/revise an event, check a members event data or print event reports. An event record consists of a name for that event, a short description, the date and time, the members cost for that event and the cost for a guest of the member. You can revise or delete an events record. A members event data consists of the events data, member attendance or not, the number of guests attending the event, the total amount due for the event, the amount received for the event and any notes regarding the member and the event. Reports can be generated on all events or on an individual event. The reports can be printed to the screen or to a printer. All events report consists of the name of the event, how many members are attending, how many guests are attending, the amount of money that should be collected for the event and the amount already collected for the event. A single event report includes the members names, their attendance, the number of their guests attending, the amount for the event and the amount received. You can list all members or just those attending.

5) LAST REVISION The program puts the days date in a file every time a member is added, deleted, made inactive or a members data is revised. This function is for membership data only. The date is not changed for changes in event data. Member lists include the date printed. This function allows you to decide if a printed list is up to date.

6) SETUP OPTIONS This function allows you to designate your own color preferences for program screens, change the inactive description to another, list the program managers title and name and alphabetize the members names. The members names are alphabetized every time a member is added, deleted or revised. This function is provided as a repair function in the event the list is out of order. You can change the heading for any printouts. From the setup options you can view or print a copy of the instructions.

Our software will run on any IBM PC or compatible running D.O.S. 3.1 or later. It will run under WINDOWS 3.1 or under WINDOWS 95/98/ME/XP. It will not run on Windows Vista or Windows7 without outside solutions.

The shareware installation file EVENTS.EXE is a self extracting file. That is, when you run the program EVENTS.EXE, all the necessary files will be extracted. If not installed already, a second party licensed software program PRTWIN will be installed. PRTWIN makes it possible to print to windows printers from a DOS program. Do not change any of PRTWIN settings or the GROUP/EVENT MANAGEMENT program may not print.

The actual program file that you will run is named "GROUP.EXE". You can read or print instructions for the program from the "SETUP OPTIONS" which can be found on the main menu of the program.
